Start with the part that is verifiable
Separate the event you can describe from the motive or reaction you are guessing. For a message about how to resolve conflict over vacation coverage, use this factual base: identify the task, decision, deadline, role, or resource and use dated examples of the impact.
Make one answerable request
Give the recipient one concrete question or next step instead of several emotional jobs at once. Propose an owner, working rule, or decision route and set a short review point. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Leave the recipient in control
Do not retaliate, gossip, conceal risk, or turn a process disagreement into a personal accusation. Use HR, a representative, security, or legal support for discrimination, harassment, threats, retaliation, or unsafe work. A clear message remains useful even when the answer is no or no answer arrives.
