Find the exact point of divergence
Was the disagreement about scope, price, timing, approval, or the definition of done? Quote the relevant agreement or decision without flooding the message with the full project history.
If your wording or process created ambiguity, say so. Owning an unclear brief can move the issue forward without conceding facts that are not true.
Offer a bounded remedy
Propose one or two options, such as a correction, partial redo, revised date, credit, or documented closeout. State what each option includes.
Avoid open-ended promises to do whatever it takes. A specific remedy is easier to evaluate and less likely to create a second misunderstanding.
- The disputed term or deliverable.
- The record that supports your understanding.
- One or two clearly bounded remedies.
Keep formal disputes formal
If business email remains open, use it so the project record stays together. One announced request can point the client back to that record when usual contact has closed.
For chargebacks, regulated work, confidentiality, legal claims, or contractual notice, follow the platform, insurer, lawyer, or contract process. Do not put confidential client data in the message.
