Name the impact without exaggerating it
Describe who had to wait, worry, redo work, spend money, or make a choice with incomplete information. For a message about how to decline an optional work social event, use this factual base: describe the request or behavior, its frequency, and the effect on delivery, health, or privacy.
Make repair practical
Offer the repair you can actually complete, with ownership, timing, and any limit stated honestly. Propose a workable channel, schedule, scope, or escalation route and document the agreement. Make the immediate next step clear enough that the recipient can answer without reconstructing the entire history.
Let future behavior carry the proof
Do not retaliate, shame a colleague, or refuse essential duties without explaining the operational alternative. Use HR, a representative, occupational health, security, or legal support for harassment, discrimination, threats, or unsafe work. A promise inside a message is weaker than a visible change in what you do after it.
