Reflect the point you missed
Summarize their concern in language they would recognize, including the feeling or practical need beneath it. Do not add your rebuttal to the same sentence.
Name how you stopped listening
Be specific about interrupting, preparing a defense, checking your phone, dismissing emotion, or assuming you already knew the answer. This makes the apology actionable.
- Ask whether your summary is accurate.
- Let them correct you without arguing.
- Offer a new conversation only when they want it.
Change the structure of future conversations
Use pauses, notes, turn-taking, or a better time and place. If the subject becomes heated, agree on when to return rather than claiming the conversation never happened.
